What is W4 and what does it do for your company?
W4 is USER Informática's artificial intelligence line. It is made up of four agents that work with your company's data: they look after your customers, answer your team, post invoices to the accounts and record orders. They only use the information your company gives them, and the invoice and order agents leave the result in your management system.
The four W4 agents
Each agent takes on a job that a person does by hand today. W4SUPPORT answers customers with the company's documentation and W4MIND resolves the team's questions. W4INVOICE reads supplier invoices and posts them to the accounts, and W4ORDER records the orders that come in, whatever their format.
Where in your company does it save work?
W4 comes in where manual work repeats most: answering the same queries, looking for information in documents, typing in invoices and rewriting orders. Each agent covers one of those tasks alongside the people who already do them, who move on to checking and deciding instead of copying data from one place to another.
Customer service
W4SUPPORT answers queries with your company's documentation and logs incidents in the ERP until they are closed. Whatever it cannot find in the documentation it passes to the person responsible with the case explained.
Administration and accounting
Each supplier sends invoices in its own format. W4INVOICE understands them all, extracts their data and posts them in your management system, and your team stops typing them in one by one.
Orders and sales
W4ORDER understands the orders your company receives, each customer in its own format, and records them with their data in your management system. Nobody has to type them in again.

The manager, consultants or developers ask W4MIND what they need and get the specific answer on the spot, with its explanation, without going from one department to another.
How is W4 rolled out in your company?
W4 is rolled out in phases. First it indexes the company's knowledge. Then it learns from your team's corrections until its answers are reliable and it can work on its own. From then on it keeps relearning with every new action your team takes and every change in the company's knowledge.
Knowledge indexing
Authorised people add the company's knowledge in whatever format it has (text, images, Word or PDF documents), and W4 indexes it and catalogues it by document. All its answers come from there, so from the first day W4 replies with your company's data.
Correction with your team
At first, your team reviews what W4 answers and corrects whatever is needed. W4 adds every correction to what it has learned until its judgement matches the company's and its answers are reliable.
Autonomous operation
From that point W4 works on its own. It solves each query and explains it as naturally as a person would, because it has been designed from human behaviour. When needed it also acts: W4SUPPORT, for example, hands a case over to the person responsible and follows it up in the ERP.
Continuous relearning
W4 keeps learning from every new action of your team and every change in the company's knowledge, and its answers improve with use.
What information does W4 work with?
W4 works with the information that your company's authorised people give it, in whatever format it has: text, images or Word and PDF documents. It indexes it, catalogues it by document and all its answers come from there. W4SUPPORT, for example, does not reply with data from outside that documentation.
Does W4 work with W3ERP and other systems?
The agents work inside your management system: W4INVOICE posts the invoices, W4ORDER records the orders and W4SUPPORT connects to your ERP or knowledge base to follow up incidents. If you use W3ERP, the same team that develops it sets up the agents. Each one can be given whatever functions your company needs.

Does the W4 artificial intelligence work from day one?
It works in phases. First it indexes the company knowledge, in whatever format it is in: texts, images or Word and PDF documents. How is W4INVOICE different from OCR?
OCR turns the image of an invoice into characters and leaves a margin of error: someone has to check what it has read before posting it to the accounts. W4INVOICE is an agent specialised in invoices. It understands what it reads, whatever the supplier format, extracts the data needed and leaves the invoice posted in the management system.
What are W4INVOICE and W4ORDER?
They are the two W4 agents that process documents. W4INVOICE reads any invoice, whatever the supplier and whatever the format, extracts its data and posts it to the accounts. W4ORDER does the same with orders and records them in the management system. Both can be given whatever functions each company needs.

They are two agents of W4, the USER Informática artificial intelligence line. W4SUPPORT answers customers using the documentation the company has filtered and indexed, runs on Amazon Web Services and, connected to the ERP, does what the customer needs, such as logging an incident.
